Did you know you can set up group approvals in Formstack Workflows?

Having the ability to set up group approvals in workflows is crucial for enhancing the efficiency, accountability, and compliance of business operations. By involving multiple stakeholders in the decision-making process, it ensures a more collaborative and balanced approach, drawing on the collective expertise and insights of the team. This not only accelerates the approval process by mitigating bottlenecks associated with single approver dependencies but also enhances reliability and reduces the risk of errors. Additionally, group approvals increase accountability among team members and ensure adherence to regulatory standards by subjecting decisions to multiple reviews. Ultimately, this feature can significantly improve operational efficiency, foster a culture of shared responsibility, and ensure that decisions are made in the best interest of the organization, aligning with both internal policies and external regulatory requirements.

In this video demo, we will be walking through how you can set up Group Approvals in Formstack Workflows.

Tools Needed

Today, this powerful functionality is available on a Formstack Suite Teams plan and above. This tier is designed to provide teams with the comprehensive tools necessary for advanced automation and process management, ensuring that businesses of all sizes can benefit from the efficiency and scalability offered by data capture, document delivery, eSigning, and workflow automation.

To leverage this game-changing feature, you'll need to be a Formstack customer on a Suite Teams plan or have the Forms Teams plan with the Workflows PRO add-on.

Instructions

Setting up your enhanced workflows is straightforward and can be broken down into five simple steps:

Step 1: Select your form. Choose the form for which you want to set up group approvals. If you don't have one yet, create a new form according to your needs.

Step 2: Create a new Workflow. Once your form is ready, navigate to Formstack Workflows and select “Create a New Worklfow.”

Step 3: Build your workflow. Set up your workflow using Forms, Documents, and/or Sign steps. Drag and drop your approval step onto your workflow and add your assignees.

NOTE: Your approval needs to immediately follow the form, document, or sign step containing the fields or information used to configure your approval step.

Step 4: Check or uncheck the box “Require all assignees to approve before workflow proceeds” depending on  your needs.

Step 5: Deploy your workflow: Once you're confident in your setup, activate your workflow to start automating your group approval process.

In a world where time is of the essence, leveraging tools that streamline workflows is essential for staying ahead of the curve. With Workflows, setting up group approvals has never been easier. By following the simple steps outlined above, you can empower your team to collaborate more efficiently, reduce manual tasks, and ultimately achieve greater productivity.
